Meeting Room Furniture: Creating Spaces Where Teams Collaborate Effectively
Meeting rooms are where decisions happen, ideas develop, and teams collaborate. The furniture you choose directly impacts meeting productivity and the impression you make on clients. UK businesses often underestimate how important meeting room design is.
The Meeting Table
Your meeting table is the centrepiece. Rectangular tables suit formal presentations and hierarchical meetings. Round or oval tables encourage equal participation and discussion. Size matters—the table should fit your typical meeting size comfortably without being so large it feels empty. Ensure sufficient legroom and space for laptops and notepads. Surfaces should be scratch-resistant and easy to clean.
Seating Comfort
Meeting room chairs don't need full ergonomic features like office chairs, but they should be comfortable enough for 1-2 hour meetings. Stackable or mobile chairs offer flexibility for rooms hosting varying group sizes. Choose professional-looking upholstery that complements your table and overall office aesthetic.
Storage and Sideboard Space
Meetings require materials—documents, folders, drinks, notepads. A sideboard or storage unit keeps these items organised and out of sight. This prevents cluttered tables and keeps focus on the meeting content. Some companies prefer credenzas for serving refreshments during longer meetings.
Technology Integration
Modern meetings require technology support. Ensure your table has sufficient power outlets and cable management for laptops and devices. Wall-mounted screens or projectors need appropriate furniture positioning. Consider cable trays under tables that keep wires organised and safe. Some premium tables include integrated power and data ports.
Lighting Considerations
Poor lighting makes meeting rooms feel depressing and makes video conferencing look unprofessional. Natural light is ideal, but supplement with overhead lighting and dimmable options. Avoid harsh fluorescent lighting that causes headaches during long sessions.
Acoustics and Privacy
Meeting rooms need acoustic treatment to contain discussions confidentially and reduce external noise. Upholstered chairs and wall panels absorb sound. This prevents sensitive conversations from being overheard and improves audio quality for video calls.
Flexibility and Adaptability
Modern businesses need flexible meeting spaces. Mobile furniture allows rapid reconfiguration for different meeting types. Some companies use modular tables that combine for larger gatherings or separate for smaller groups.
Professional Appearance
Your meeting room reflects your company's professionalism. Coordinated, well-maintained furniture impresses clients and partners. Choose a cohesive colour scheme and style that matches your brand identity.
Refreshment Stations
Consider small tables or surfaces for tea, coffee, and water. This shows hospitality to clients and keeps the main meeting table clear. A discreet bin for paper cups maintains tidiness.
Well-designed meeting rooms facilitate better discussions, impress clients, and demonstrate that your company values collaboration and professionalism.
